Job Purpose

We are seeking an experienced individual to join our team here at Health Assured to enable us to continue to meet our growth expectations and ensure that the business and different departments run efficiently. You will be required to support the Senior Leadership Team with administrative duties as and when required.

Day To Day Responsibilities

* Coordinate and organise department related events, namely quarterly commercial conferences.
* Assist Management in preparing and maintaining meeting materials, business presentations and other department files.
* Respond to email requests from internal or external individuals within a timely and accurate manner.
* Authorise annual leave requests in line with departmental policies.
* Work with the property management team to report faults and issues with any of the office equipment
* Schedule and coordinate departmental probationary, quarterly, and bi-annual employee reviews.
* Draft letters, correspondence, memos, documents and plans as requested.
* Support with HR related matters throughout the business, ensuring confidentiality is maintained and legislation is always followed.
* Organise and arrange client visits for teams throughout the business.
* Assist in the creation and implementation of new processes and protocols for the department.
* Support with onboarding and offboarding for employees.
* Maintain all department information ensuring this is kept confidential and secure.
* Take ownership of health and safety ensuring that the Business Safe Online portal is up to date and accidents and incidents are reported correctly
* Maintain positive working relationships with all departments and customers.
* To show flexibility with hours worked as there may be occasions when having to address staff issues outside of core hours, deliver or complete training or have team meetings to capture all team members.
* Undertaking other relevant duties to ensure operational efficiency of the business as and when required.

Essential Skills and Competencies

* Experience of working in an administration role / PA role
* Good written and oral communication skills
* Strong administrative skills
* Accuracy and attention to detail
* Strong computer skills (Microsoft office (Word, Excel, PowerPoint, Outlook)
* To always maintain a professional and responsible attitude
* Ability to work independently and maintain accurate records
* Excellent communication and active listening skills
* Strong commercial awareness
* An ability to work under pressure and to deadlines
* Able to demonstrate strong organisation and project management
